Who we are

This site is the public marketing website of The Property Collective, a Singapore property practice led by James Lim, Associate Group Director at PropNex Realty. Estate agency work is carried out through PropNex Realty Pte Ltd (Estate Agent Licence No. L3008022J). James Lim’s CEA registration number is R063631F.

The Property Collective is a team within PropNex Realty and is not a separate licensed estate agent. Where we act as a salesperson of PropNex, personal data related to a property transaction may also be processed by PropNex Realty Pte Ltd as the licensed estate agent, in line with CEA requirements and PropNex’s own policies.

What this notice covers

Singapore’s Personal Data Protection Act 2012 (PDPA) governs how organisations collect, use and disclose personal data. This notice explains what we collect on this website, why, who we share it with, and the rights you have. It applies to www.thepropertycollective.sg and related pages we operate on this domain (including /consult, /join, /check, and newsletter sign-up).

BuySafe is a consultation-only tool we walk you through in person. It is not a public login on this site. If a consult involves BuySafe, the personal data you give us for that conversation is still handled under this notice.

What we collect

Depending on how you use the site, we may collect:

• Identity and contact details you type into a form: name, email address, and mobile number.
• Enquiry details such as your current property position, budget range, notes about what you are considering, a condo project name (on the BuySafe check request), or a recruitment enquiry if you ask about joining the team.
• Newsletter sign-up: email address, so we can send The Brief.
• Technical and usage data created when you visit: pages viewed, approximate location derived from IP, device and browser type, and referral source. This is collected through cookies and similar technologies (see below).
• Communications if you call, WhatsApp or email us, including the contents of that conversation as needed to help you.

We do not ask for NRIC, passport, income documents or bank details through this website. If a later transaction requires identification or financial documents, that happens through the licensed estate-agency process, not through these public forms.

Why we collect it (purposes)

We use personal data to:

• Respond to consultation, listing, viewing and BuySafe-check requests.
• Call or message you about joining The Property Collective, if you asked us to.
• Send The Brief and related property notes you subscribed to, until you unsubscribe.
• Understand how the site is used, fix problems, and improve content and ads.
• Meet legal, CEA, accounting and record-keeping duties that apply to estate agency work.
• Protect the site against abuse and keep a record of what was submitted.

We will not use your details to send marketing you did not ask for. Consult follow-up about the matter you raised is a response to your request, not a cold campaign. You can tell us to stop at any time.

How we collect it

Most personal data comes from you: forms, email, phone, WhatsApp, or a booked call. Some technical data is collected automatically via cookies, HubSpot tracking, Google Analytics 4 and the Meta Pixel when you load the site. We may also receive limited information from PropNex systems if you are already a client of the agency.

Who we share it with

We share personal data only as needed for the purposes above:

• PropNex Realty Pte Ltd, as the licensed estate agent through which James Lim practises, where a consultation or transaction requires it.
• HubSpot, which hosts our CRM and form submissions (including the tracking cookie used to attribute how you found us).
• Resend, which sends The Brief from our newsletter domain when you subscribe.
• Google Analytics 4 and Meta (Facebook) Pixel, for site measurement and, where relevant, ad performance (including Join Us campaigns).
• Service providers who host this website (currently Cloudflare Pages) and keep it running.
• Professional advisers, insurers, or authorities if the law, a CEA requirement, or a genuine dispute requires it.

We do not sell personal data. Some processors are located outside Singapore. Where we transfer personal data overseas, we do so only to organisations that offer a standard of protection comparable to the PDPA, through their contracts and published terms.

Cookies and similar technologies

This site uses cookies and pixels that are typical of a marketing site with forms:

• Strictly useful: load balancing, security and remembering basic site function.
• HubSpot (hubspotutk and related): so a form submit can be tied to the pages you viewed.
• Google Analytics 4: aggregated traffic and content measurement.
• Meta Pixel: page views and conversion events for ads, including recruitment leads on /join.

You can block or delete cookies in your browser. If you do, forms still work, but we may lose the traffic-source history that helps us know how you found us, and some measurement will be incomplete. This page is the cookie notice for the site; /cookie and /pdpa redirect here.

How long we keep it

Enquiry and consult records are kept for as long as we need them to help you, then for a reasonable period in case you return or a compliance question arises, and otherwise in line with PropNex and CEA record-keeping practice for estate-agency work. Newsletter addresses are kept until you unsubscribe, then removed from the sending list. Analytics data follows each vendor’s retention settings. We do not keep data longer than we have a purpose for it.

Your rights under the PDPA

You may:

• Ask what personal data we hold about you and how it has been used.
• Ask us to correct data that is inaccurate.
• Withdraw consent for us to use your data for a purpose you previously agreed to, unless we need it to complete something you asked for or to meet a legal duty.
• Unsubscribe from The Brief using the link in any issue, or by emailing us.

Children

This site is aimed at adults considering Singapore property or a career in estate agency. We do not knowingly collect personal data from children through these forms.

Security

Forms post to HubSpot or to our own subscribe endpoint over HTTPS. Access to leads is limited to people in this practice who need it to reply. No website is perfectly secure; if we become aware of a notifiable data breach, we will act as the PDPA requires, including notifying the PDPC and affected individuals where that duty applies.

Changes

We may update this notice when our tools, vendors or the law change. The date at the top is the latest version. Continued use of the site after an update means the new notice applies to that use. Material changes to how we use data already collected will be handled in line with the PDPA, including fresh notice or consent where required.

This is a draft notice

This page is written to match how the public site actually works today: public marketing pages, lead forms, HubSpot, GA4, Meta Pixel, and a newsletter. It is accurate as a description of that practice, but it is not a signed legal opinion and does not create extra contractual rights beyond the PDPA. Transaction paperwork, estate-agency agreements and PropNex’s agency policies sit on top of this where a deal proceeds.
